Accommodation Allocations/AllotmentsAccess to this option is controlled by "Permission option" 51.
Allocations/Allotments Allocations are also known as Allotments. Using this feature you can allocate multiple units of a single type of accommodation to an Agent or Tour Operator . A unit for a day (or mulitple units for multiple days) can be allocated exclusively to an Agent. Once created an Allocation appears in "Booking Overview" as follows. Each Allocation is given a unique reference number. An Allocation can be defined as a "Guarantee". In this case the Agent has an agreed payment schedule. All bookings are then entered free of charge.
In this example Laterooms.com have been allocated units OVSR2 and OVSR3 from Monday 5th June to 4th July (not including Friday and Saturday. The only bookings which can be entered in the "Laterooms cells" are those assigned to that Agent. Release Back It is common to operate a release back period for Allocations. A number of days can be specified where if the Arrival date is within the number of days of todays date and the Agent has not sold the room or unit then, you can book the accommodation and it will not be assigned to an Agent unless you want to. In the above example the "release days" are 3. Update/Change an Allocation If the Units or Dates change for an allocation then make the changes and select OK. The availability of all units will be updated accordingly. Once an allocation has been created you can not change the Agent it has been assigned to. If this is needed then you must "Release" the Allocation and start again. Price The prices used for this allocation can be controlled using the Rateplan and "Dates and Prices " entries. If these are blank then the normal rates are applied. Yield ManagementAllocations work with the Dynamic pricing options Terms and GuaranteesFinancial terms can be defined for each allocation once the allocation has been created. If the Allocation is a "Guarantee" then payment schedules for both the Agent and the Owner (if applicable) can be included. Any guaranteed invoice allocation/schedules will be automatically invoiced when due using the " Invoice Subscriptions and Guarantees" option. Datafeed Agent AllocationsIf Datafeeds are in use then you may also use "simple" shared Agent Allocations. These are defined in the "Online Agent Integration " option. The easiest route to these is using the "Unit Information" option. |
