Accommodation DetailsUser accessAccess to this option is controlled by "Permission option " 2.
This option defines :-Accommodation Type :- " Group DiscountsPricing modelsThere are different pricing models available. If "Price by day of week " selected, prices are specified for each day of the week. Commonly used by Hotels. If "Price by length of stay" selected, prices can be set dependent on length of stay. This method is most commonly used with Villas and Apartments. Meal supplements, free child places, minimum lengths of stay, different rates for different lengths of stay and controls regarding valid days of arrival can be configured when defining prices. Access to the above is controlled by "Permission option" 1. Date and Price codesThe price data used to calculate the cost of a reservation varies throughout a year. Records are created for each date when price information changes. You can either create records and information for each accommodation type - this is the best method if you have a single property, or lots of individual properties with unique pricing - or use the Date and Price code option to set up price models, these are then assigned to each accommodation type. This Date and Price code option is very useful if you have lots of accommodation types or properties which use the same price structure. Occupancy/Arrival/Dynamic discountsDiscounts/Increases can be applied to any of the pricing models using the Occupancy/Arrival date Discount option. Also known as Dynamic pricing. RateplansWhen defining prices, different "Rateplans " can be used. Select a different rateplan using the list available in the rateplan pull-down or select the "+" button to create rateplans. DefineInformationOnce you have defined at least one "Unit" of accommodation for this type you can setup information about it. Choose one unit from the dropdown next to the "Information " button, select the "Information" button and use the "Unit/Room Information " option to configure photos, information and features. This information will be used online to show information for the accommodation type or property. Quick ViewAccommodation Quick View provides an overview of availability for the selected accommodation type. Maximum GuestsYou can define the maximum number of guests who can stay in this type of accommodation. This is the total of Adults and Children. You can also specify "plus children". For example a Studio will usually have a maximum of two guests. Sometimes in larger studios it is possible to have one extra person which must be a child. Use the "+ Children" option to set this. This may vary for each Unit/Room defined for this Accommodation Type. Use the "Unit/Room Information" option to set this for only those Units/Rooms which can accommodate the children. When using " Booking Entry" only those Units/Rooms matching your "Adults and Children" will be offered. Example Hotel configurationFor this example we will use Hotel Bienvenue. This has 10 double rooms, 15 twin rooms and 3 single rooms. Step 1 - Adding Accommodation Types to your Property(a) The "Master" Accommodation type must already exist in "Accommodation Types". (b) Adding a Type to a Property
Use the "Accommodation" pull down list and select "SINGLE ROOM". Click the " Add" button and it will be added to the types defined for this property. Once added "SINGLE ROOM" is shown in the types box. As you add other types they will also appear in the box. (c) Adding other information for a type.
Tick or "de-tick" the above to define the "Basis" in which you can stay in this Accommodation Type . In the order of left to right: Accommodation only, Bed and Breakfast, Half Board, Dinner Bed and Breakfast, Full Board. This will enable or disable supplements accordingly when defining prices later. If selecting multiple entries select the default method by clicking the circle underneath the appropriate method. Tick "Flexible length stay" if clients can book for any number of nights. Hotels tend to be flexible whereas most Holiday companies offer accommodation in fixed lengths. In the latter case this entry should be unticked. Select the minimum and maximum number of guests who can stay in this Accommodation Type. This can be modified on a per Unit/Room basis using the "Unit configuration" option. Select the "Update" button to update the settings. Step 2 - Select dates on which to define prices for each Accommodation Type or use a Price code defined with the Dates and Prices option. Select the Accommodation Type by clicking on the type in the "type box". Scroll through the months using the "arrow" on the top left and top right of the month calendar area.
Select the date you want to define. The date should be the first date you want this Property to be available from. Do not worry about the date at this stage. Once you are comfortable with how to configure your Property you can add and delete dates. If prices change on each day of the week then accommres will use the previous Monday to the date you select as the start date of the price plan you want to add (if set to "Price by Week"). Click on a date on the calendar and select the "Add date" button, to add it. When the date is added it appears in the date column on the left.
To select a date - click it. Every time you click a date its pricing information are loaded. Define the prices for each date when prices change. If you want to delete a date, you must first select it. Close the Pricing option and click the Once you have finished defining dates and the prices you are ready to define your Units/Rooms. Defining Units/RoomsEach Unit of Accommodation or Room must be defined. Select the "Type" and then the " Define " button. The "Define names" option is loaded. Removing an Accommodation Type from a PropertyIf you want to remove an "Accommodation Type" from a Property you can. The master "Accommodation Type " information is not affected but, it will be no longer attached to the property. All the information and data is retained but no longer referred to for future bookings or the online booking site as far as this property is concerned. To delete the "Single Room" from the Hotel Mirimar select the "Accommodation" and then select the Group Discounts/Rates" Group Discounts" can be defined for each Accommodation Type based on the total number of Adults and Children in a booking. you can create more price configurations for each of the dates defined. There are a total to 5 groups. Group 1 is the standard price, you create additional prices using group 2 to 5. Select the group number before selecting the date. Online Agentsaccommres is integrated with online agents. Pricing and Availability information is automatically sent to those agents and any bookings are downloaded. Configure " Online Agents" using the " Online Agents" button. Accommodation is allocated to an online agent using " Accommodation Allocations". |
