Define Room/Unit Names and NumbersAccess to this option is controlled by "Permission option" 50.
Define the room or unit names. The name can be a number or a name. These are attached to accommodation defined in "Accommodation Details". Every room or unit of accommodation must be assigned a "Unit code". This code must be unique. In many cases it will be the room number. The Name is a version of the code which is printed on invoices for your customer. The Unit code can be up to 20 characters in length and contain any characters except , and ' ExamplesPrince Albert suite 10 5 1234 ABC234 Maximum guestsNormally maximum guests are defined by Accommodation Details. However, if this varies you can apply a maximum guests value on a unit by unit basis. Overview orderWhen running various reports and looking at all your rooms/units in Booking Overview the units can be listed in overview order. If you use this all units must be assigned a unique overview order number. If not used units are listed in Unit code order. Telephone and FaxesIf the room has a telephone(s) enter the extension numbers. This is only required if you use our integrated call logging solution connected to your telephone system. Inventory"OVER" unitsThese are automatically generated by accommres as needed although you can manually create one by selecting the "+ OVER" field. Sometimes due to issues beyond accommres control it is possible for a booking to be taken when there are not enough units available - an overbooking! As all bookings are allocated to a unit or room, accommres will create an "OVER" unit which will be visible in Booking Overview and then put the booking in it. You can then decide what to do with the booking. Probably move the booking into an alternative accommodation type. accommres continually syncronises your inventory online and on your local system. If there is an internet problem for example "loss of connection" to the internet, accommres will continue operating. Our online servers will continue driving your online booking website and your local system will continue normally. This could lead to double bookings. It is better to have too many bookings than too few! |
