Purpose

Send a standard email to all or a selection of your Clients, Suppliers and Owners.

If the "Clients with Resevations only " box is ticked you can restrict the Clients to those which have placed a Booking matching the following criteria. Cancelled bookings are excluded.

Selected clients/bookings/owners/suppliers are passed to our email module, and they are sent an individual email formatted according to your criteria. The email is sent immediately.

Sort order

Dates, default values and Email information are determined by the selected " EShot".

Test Emails

When you are ready to send your email, you can test it. Select the " Test " button and all emails will be sent to your return email address. After each one you will be asked if you want to send another. At that point you can check the received email and decide if you want to stop. Selecting " Start" will send to the normal receipient email address.

Records

A record is kept of all emails which are sent including when and who sent them. This information is used to prevent duplicate emails being sent if unique is selected. If an email is sent more than once (duplicates allowed) then the date and time sent is that of the first email.

The Email

You prepare email text using an html editor or a text file editor, for example Notepad. The text is saved in a file. You may need a web designer for this if you want to prepare html formatted emails. Html formatted emails use colour and potentially images within them. Each EShot you send uses information defined in "EShots". The email can include merged information from the "Suppliers", "Owners", "Clients" and "Bookings" databases (see below). If you prepare a simple text file (not html format) to send an email your Company logo will not be included.

This option only available when a datafile (Excel or CSV) is used to generate the data restricts the number of emails sent to the limit entered. If left blank this option has no effect. If used in conjunction with the "Unique/Duplicate" this can be used to send a large quantity of emails in batches.
