The EmailYou prepare email text using an html editor or a text file editor, for example Notepad. The text is saved in a file. You may need a web designer for this if you want to prepare html formatted emails. Html formatted emails use colour and potentially images within them. The email can include merged information from the "Clients ", "Suppliers", "Owners" and "Bookings" databases. QuantityWhen an EShot is sent, it can be sent in batches. The "Quantity " is the default batch size. This can be altered or cleared (no limit) at the time of sending. Merged informationInformation is merged into the " Subject" line of the email and the main " Body text". You specify merge fields using the following notation. These need to be placed in the email text. %*FIRSTNAME*% dont forget your passport %*Field name*% - an example can be seen above in the Subject line using the FIRSTNAME Field name. When the "EShot Campaigns " option is run all text within %* and *% is presumed to be one of the following fields and is replaced accordingly, the %* and *% characters are not included in the merged email. The first row is assumed to be a header row. All of the above fields are used as column headings with the exception of LOYID, LOYPASS, LOGIN and PASSWORD. See example below. An additional field is available "CONTACT". If found in the header row it will be used in the email as the "To" name.
Alternatively you can use field names as follows. FIELD2 FIELD3 ... FIELD99 The number of each of these "maps " to the column number. In the above example FIELD1 => TITLE FIELD5 => ADDRESS1 Field numbers 1-9 must be prefixed with a 0. If using a file with more than 5000 records you will experience better performance if this file is in CSV format. Email addressEShot informationThe description is for your benefit. The "Subject", "From" and "Email" values are used to create each email sent. "From" is the name of the sender and "Email" is the return/reply email address. If the "Email text" file is in html format then the "Html" option should be ticked. When emails are sent they are created slightly differently if they are in text or html format. DatesAn EShot can be applied to specific date types. The dates can be either the Booking date, the Arrival or the Departure date. Unique/DuplicateIf set to Unique then this email will only be sent to a contact once. If the EShot relates to individual bookings then it will send the email once for each booking (even if they have the same Client). Location, Property and BasisOnly bookings which match these values are included. |
