Extras

Items other than accommodation can be added to bookings. Each Item is defined as an Extra and given a code.

Name

Each extra has a name. By selecting "Name in other languages" you can enter the name in other languages if you know it. We will translate standard phrases and make them available on our website for you.

Sales Tax Code

Each extra is assigned a tax code number. Up to 5 are available, but they must be defined in the Tax Rates option first.

Minimum per booking

This only applies to the online booking site. Sometimes a minimum number must be booked in order for it to be viable. For example an Airport Transfer in a taxi may require at least 2 people, if you charge per person. The minimum will be applied at the time of booking.

Deposit

Two settings control how the extra is applied in relation to the Deposit. The value for this Extra can be included in the Deposit calculation. Either added to the accommodation deposit value with the Extra paid in full or the a % of the extra paid.

Calculation method

When online bookings are processed you can set "Rules" which determine how the Extra is applied. If any rules are set the customer is given the option of selecting the Extra but not entering a "Quantity". The rules determine the quantity.

The rules are split into three groups.

1) Per day, week or month. The price applicable for the Extra is applied depending on the length of stay.

2) Per person or booking. The price applicable for the Extra can be applied depending on the number of Adults and Children.

3) Mandatory. If selected the Extra will be added to the booking automatically. The customer will not have any choice.

The above example will apply a 1.5 GBP charge for each Adult and Child and for each day of occupancy. There is no choice, the Extra will always by applied online.

These functions only apply online. When entering bookings using "Booking Entry" or "

Commissionable

If this box is ticked then commission is paid to any Agent on this item on bookings assigned to an Agent.

Available at time of Booking

Extras can be added to the online booking site. This is using the Property configuration options. Not all extras can be made available, only those ticked will be. By default all online extras are available to all accommodation types (only if using the Search API). " Bookable Extras " can be defined for a property if you do not want all Extras available to all of your Properties.

Price

Enter the price or prices depending on your choice on automatic calculation. If the price can not be pre-defined, for example "meals" then set the price to zero. When the " Extra " is added to a booking, its value is entered at that time.

All prices can be changed when an "Extra" is assigned to a booking or at any time later.

Finding an Extra

Daily Items

Using the "Daily Items" option an Extra can be defined as something added regularly - for example Newspapers. This is covered in more detail in the "Daily Items" option.

Linen

If you want accommres to report the Linen required for each "Room or Unit of Accommodation" in the Unit Cleaning Report define all Linen items as Extras, no prices are required.
