Locations and Regions

Access to these options are controlled by "Permission option" 17.

Locations

Configuration -> Locations

You must define the Location for each of your Properties. As each Location is entered it will be added to the list in the box at the bottom of the window. If you want to change or delete a Location select it in the bottom window and its details will be loaded.

A location is the nearest centre of population to your Property or Properties. Treat in the same way as your Post Town or City. If your Property is in a village or out of town location, then use the Post Town for it as its location. When you define the Property you refine it's address.

Information can be defined for each Location which appears online if you are using "web kit". Images, information, features and Airport, Train station, Bus station, Port, Taxi and vehicle rental information can be defined including links and contact information to all those who provide flights, buses, taxi and other services.

The main Location name is in uppercase and must not have any non Alphabetic or non Numeric characters except "-". The "Actual name" is used for the "local language" version. The Actual name is used for website and external use - emails and printing.

Actual Name

The actual name can include any characters you want. It is used to represent the "Location name " on printed and emailed documents and online.

Country

Either "All" Countries are listed or only those where you already have defined Locations. Tick or untick the box next to the Country drop down to switch between the two types.

Sales Tax

This is important. You must define the sales tax which is applicable to this location. If you have not defined this yet select the Tax Rates button. This will determine the tax rules applied when bookings are made to properties in that location. It will also define the tax types used when entering manual or ad-hoc invoices for Clients .

Regions and Sub Regions

If you have multiple locations you may want to define Regions. Define these first (see below). Then assign each location to its appropriate Region. You can use regions for reporting and location selection online and in booking entry.

Tourism area

If the location is in an area of interest for example "The Lake District" in England select the "+" button and add the area of interest. Make sure you have selected the country first.

Information

A description can be specified for all locations. You can also define up to nine images and a list of features. This can be used online and the functionality is included in the the "web kit". Select the " Information" button.

Regions

Configuration -> Regions

If you use multiple locations in different parts of a country then you should also use "Regions". A region can be used online or for reports and booking entry.

Regions are very similar to Location in the method of entry and definition.

Sub Regions

Configuration -> SubRegions

Each Region can have many subregions. Each subregion can have the same detail information defined as specified above for Regions.
