Unit/Room Information

Access to this option is controlled by "Permission option" 49.

Up to 19 images, a map, directions, key collection information, booking method options, disability information an individual address and much more for this unit/room or property can be defined for each Unit/Room of accommodation. This information may be used online or when booking to determine availability (occupancy details) and much more. This information may be broadcast to third party partners using our integrated Datafeeds.

Multiple Tabs are available to update information

Images

You can identify if images are floorplans or siteplans. This is of interest in some datafeeds and possibly your website.

Features and Amenities

Update the individual features and amenities for this Unit.

Type

Use the two dropdown lists (top right) to identify the precise type of Unit.

Beds and Bathrooms

Identify the number and type of beds in each bedroom. This option is also used to identify, Air conditioning, Ceiling fans and the number of High Chairs, Cot beds and Trundle/Rollaway beds which are kept in/at the property.

Select the "Configure Beds " button to define the bed layout in each bedroom. This is required if you want to use the "Cleaning Schedule system" and not just the standard "Cleaning/Housekeeping Report".

Maximum Guests

You can define the maximum number of guests who can stay in this room/unit. This is the total of Adults and Children. You can also specify "plus children". For example a Studio will usually have a maximum of two guests. Sometimes in larger studios it is possible to have one extra person which must be a child. Use the "+ Children" option to set this. When using " Booking Entry

Notes

Notes can be entered, viewed or updated for this Room/Unit.

Owners

If this Unit is "Owned" you can update the owner information. A popup is given with two options - Current and All. Select All to look at or update settings for all "Owners", or select Current to update only the settings for the "Current Owner".

Inventory

The Inventory button enables the identification of all items of value which you want to record for a Unit.

Charges

The Charges button launches the Invoice/Charge option and preloads information for the Owner of the Unit.

Linen

Change Unit/Room

If you need to "move" this Unit from one Accommodation type to another then use this button to " Change the Unit/Room".

Shared Allocation

If you have Datafeeds in operation with Agents then you may need to define "Shared Allocations". This identifies for a range of dates the Agent(s) which share availability.

Contacts

The Contacts option contains the contact information for many suppliers required by the Property and also Community President and Administrator if applicable. This option is important with regard to the "Cleaning Schedule". This option defines the "default" cleaner for this property.

Distance

The Distance button opens a window where the distances in Miles or Kilometres can be entered for many items - Beach, Shops etc.

Key History

Select the Key History button for a list of all key movements relating to that Room or Unit. This is dependant on how you use accommres with regard to Key Management.

Jobs

Use the " Jobs Button " to access existing or create Jobs for this property. A menu is presented with a choice of All or Current.

All - the standard Job form, giving full functionality but restricted to this property.

Current - the job search form is provided so that you can select from any Jobs which are currently "Open" for this property.

Map Tab

Add a map image and the GPS settings for this Unit. Not required if this is a room in a Hotel.

Address Tab

For each Unit (not if Hotel style) add the address for and other address related information. If an alarm system is in use you can add Alarm codes. accommres supports multiple alarm codes. Alarm codes can be reported using the "Alarm Codes Report".

Gas information can be provided also relating to location of Boilers etc.

Let and For Sale Tab

Let Tab

The Price is a range of long term rental rates. If there is only one rate then enter that in the first price field. Use the dropdown under the Price fields to identify if that rental rate is per week, month or year.

Identify the current status of this rental property. Options are Hidden, Let, New instruction, Reduced, Subject to contract or Withdrawn.

Identify the minimum rental tern, alternative rental rates, the number of months required as a deposit, whether the property is furnished and if Utility bills are included in the rent.

For Sale Tab

Enter the price range for this Property, if there is no range enter the price in the first field. Set the price type - Asking price of, Offers in the region of, Offers in excess of, Auction guide price of, Prices from, Guide price, Price on application.

Identify the values for the Ground rent, Service charge and Sale Taxes.

Set the status for the Property - For Sale, Hidden, Let, New instruction, Reduced, Reserved, Sold, Subject to contract, Under Offer, Withdrawn

Set the Tenure type - Freehold, Fractional Ownership, Leashold, Shared Ownership. If " Fractional Ownership" identify the week prices/points using the "Weeks" button which is then presented.

If this Unit is a "Show home" or "Computer Images" then tick the "Example box".

The Available setting determines is this property is available for Sale or not.

Rooms Tab

This is a free format area to describe every room in the Unit or Property. The bottom right hand corner starts at Floor 1, Room 1. Use the left right and up down arrows to move from room to room and floor to floor. Give each Room and name, if possible enter all text in all languages you want to use.

You can also define the Virtual Tour file name and Virtual Tour format (0-360.com, IPix, Flash or Easypano). The "Virtual Tour http" path must be defined in the Settings option before these values will have any effect.

Other Tab

The most important value which is made using this Tab is the booking method. This is the dropdown list at the top which defaults to "Online Booking". Update all values are required.

Contract Tab

The contract tab contains lots of values and dates which are related to the inspection and financial operation of the Unit.

Management Fees

"Management fees" settings are only used if accommres is used to bill individual "Property owners " for Monthly/Annual management fees and other items. Fees will be charged automatically using the "Calculate Owner Income and Charges" option if they have been defined using the " Management Package" option or a value has been entered as an Annual Property Management fee.

Cleaning and Linen charges - (Charges group - left)

As part of the "Cleaning" and "Linen " system you can charge the Owner for these services. These items are defined as "Extras" and priced accordingly. However, if you define prices for each Unit/Room then they will override the ones defined in "Extras". These charges are applied using the " Calculate Owner Income and Charges " option.

Owner Website

If you want to order an Owner Website for this property from e21software then click the button. Our "Owner Website" team will receive the order and proceed in accordance with the Terms previously negotiated with you.

Owner Supplied Extras

Identify an Extras and their prices which the owner supplies. The rate is the rate the Owner charges you. These will be automatically processed when calculating Owner income.

Cleaning/Linen Charges (right)

The above Cleaning and Linen Charges apply to the whole property. If you want more control and you have defined the Bed Configuration for the property and you identify which Bedrooms to "open up" in each booking then you can specify different cleaning and linen rates based on the number of rooms occupied. You can also identify the charge for Extra beds, Sofa beds and "Foam Mattresses".

These values are used to Calculate Owner Income and Charges for each month, the Owner Income Report and the cost of cleaning when running the Cleaning Schedule Report wih the "Charges" option selected.

Inspection and Expiry dates

Directions Tab

Directions and Key collection information can be maintained in multiple languages for each Unit/Property. If this is a Multiple Unit Property like a Hotel then this information is entered for the whole property using the Property Directions and Key Collection options.

Inspection Tab

A list of all the things which must be checked when this property is inspected.

Testimonials Tab

Add testimonials you receive for each property here. These are available in our online api for use online.

Use position to determine the order the testimonial appears online.

Known Issues Tab

Sometimes despite your best efforts there will be minor problems with a property - for example squeaky floorboards, noisy pipes etc. It is good to know about these issues even though they may not be "fixable".
